Consulting Operations & Timesheet Platform

Admin and collaborator dashboards, time entry and audit history across 121 frames.

An enterprise web and mobile internal-operations platform for a professional consulting firm: timesheet logging, rate configuration, employee management and client-process implementation audits. I designed the 138-child design page — 121 frames covering admin and collaborator dashboards, time entry and review, rate configuration, audit history, consultant profiles and phone layouts. A UI/UX design credit; the backend integrations and the internal rollout are not mine to claim.

The site, liveThe design file

UI/UX Designer for Tas Consultoria, a corporate management, tax, and advisory consulting firm. Architected a 5-page, 159-node Figma product system (file UY7MnW3bFBRrqxU2QPHpC6): 138 canvas nodes on the master Design page structuring an internal enterprise web platform and mobile companion application for consultant timesheet logging (Novo apontamento, Apontamento pendente, Calendar Container), consulting rate and fee scheduling (Cadastrar taxas, Lista de Taxas), process implementation tracking, and multi-role dashboards for Partners (Admin) and Consultants (Colaborador), backed by 35 semantic color tokens and 5 responsive grid presets.

Agency employment at Sagitta delivering from January 8, 2024 to March 1, 2024. Juan served as UI/UX designer within the agency team alongside engineering. The client required an internal operations hub to replace disparate spreadsheets with a unified system for logging billable hours, managing client-specific rate cards, and tracking process audit compliance.

Consulting and tax advisory practices lose substantial revenue to friction in time tracking. When consultants find timesheet software cumbersome, hours are logged retroactively at the end of the month, resulting in forgotten billable tasks, imprecise invoices, and delayed client billing. Tas Consultoria needed an operational system that made logging hours immediate on both mobile and desktop while giving partners real-time visibility into project budgets.

The timesheet and activity logging engine

The primary operational workflow on the Design page (node 1:15) centers on making daily activity logging frictionless for staff consultants:

  • Frictionless Time Logging (Novo apontamento) — Fast intake modal allowing consultants to select client, project, activity type, billable status, and precise duration with integrated calendar date picker (Calendar Container).
  • Mobile Companion Viewports (iPhone 13 mini) — Dedicated mobile screens (screens 1 through 12) enabling on-site consultants to log travel, client meetings, and advisory sessions directly from their phones.
  • Pending Review Queue (Apontamento pendente) — Partner review dashboard where engagement leads inspect, edit, approve, or reject logged hours before invoicing.
  • Instant Success Feedback (Apontamento-sucesso) — Clear confirmation dialogs preventing duplicate entries and confirming sync with project budgets.

Consulting fee management and implementation tracking

Beyond hour logging, the platform centralized commercial client terms and operational deliverables:

  • Rate Card Scheduling (Cadastrar taxas & Lista de Taxas) — Configurable billing parameters supporting fixed-fee retainers, blended hourly rates, partner rates, and client-specific discount overrides.
  • Audit Trail (Histórico-editar) — Complete change log recording rate adjustments and billing amendments across client accounts.
  • Process Compliance Tracker (Implantação - Lista de processos) — Project management view tracking tax restructuring milestones, diagnostic deliverables, and operational discrepancies (Inadequação adicionada).
  • Consultant Directory (Cadastrar colaborador & Perfil) — Internal staff registry managing professional titles, departmental billing tags, and role-based permissions.
Never claim backend ERP or accounting integration: the source explicitly does not prove it. Never claim production deployment, internal rollout, adoption, or billing outcomes. Deployment was internal behind client auth; what is backed is the audited 159-node UI/UX system.

Tokenized design foundation and 5-grid hierarchy

To ensure absolute layout discipline between desktop dashboards and mobile companion views, I defined 5 formal responsive grid presets (Desktop/Desktop, Desktop/Desktop 2.0, Mobile/Tablet, Mobile/Mobile 24px, and Mobile/Mobile 8px) alongside 35 semantic color tokens, including metallic gold gradients (#E9BF60 to #D6A747) that reflected the firm's corporate advisory prestige.

What this project is and is not

  • Not backend ERP or accounting software. I designed the UI and interaction workflows in Figma; I did not engineer SQL databases or ERP integrations.
  • Not a public consumer website. This is an internal enterprise platform deployed behind corporate authentication for Tas Consultoria's staff.
  • Not brand identity creation. The corporate visual identity and logo existed prior to the engagement.
  • Not supported by billing metrics. No operational time savings, invoice volume, or revenue figures exist in the portfolio record.

The value of purpose-built enterprise tools

Tas Consultoria illustrates how bespoke internal tooling can eliminate administrative friction in professional services. By combining desktop depth for billing managers with mobile speed for consultants in the field, the design transformed cumbersome time tracking into an intuitive operational asset.

Evidence

The consulting firm is active and operates at tasconsultoria.com. The client approved the design deliverables and deployed the internal timesheet and operations suite behind corporate authentication for internal staff. No operational efficiency or billing volume metrics exist. This case study documents internal B2B operations UX, timesheet interaction models, and multi-resolution grid systems.
